Privacy Policy
This policy explains how Aerial Drone Solutions cc (“Aerial Drone Solutions”, “we”, “us”) handles personal information when you use this website, ask us for a quote or work with us. We process personal information in line with the Protection of Personal Information Act, 2013 (POPIA).

2. Information Officer
Our Information Officer is Isak Burger. Questions, requests or complaints about personal information can be sent to info@aerialdronesolutions.co.za or to the address above, marked for the attention of the Information Officer.
3. Personal information we collect
Quote and contact form. Your name, email address and/or phone or WhatsApp number, the shoot location or site address, dates and a description of the job. If you choose to, you can also give your company or production name, a production contact, budget range, technical requirements and other notes.
Uploaded briefs and shared links. You can attach one file (such as a brief, shot list, storyboard or reference image) or paste a link to one. These may contain information about other people, such as crew contact details or recognisable faces. Please only send material you are entitled to share.
Email, phone and WhatsApp. Your contact details and whatever you choose to tell us when you get in touch.
Clients. When we work together: company and billing details, VAT numbers, project correspondence, location and access details, and records needed for operational approvals.
Technical information. Like most websites, our hosting provider’s servers automatically record basic technical information such as IP address, browser type, date and time, and the pages requested. This is used to run and protect the website. We do not use it to identify visitors, except where needed to investigate misuse or a security incident.
We do not ask for special personal information (for example health, religious or biometric information) or information about children through this website. Please do not send it.
4. Why we use it
- To reply to enquiries and prepare quotations.
- To plan and deliver shoots, including flight planning, site access, safety planning and any operational approvals the job requires.
- To invoice, keep accounts and meet tax obligations.
- To keep records of our work and meet legal, regulatory and aviation requirements.
- To keep this website running and secure.
We do not sell personal information, and we do not use quote-form details for marketing.
5. Lawful basis
We process personal information where POPIA allows it, mainly where it is necessary to take steps you have asked for before a contract (such as preparing a quote), to carry out a contract with you, to comply with a legal obligation, or for our or your legitimate interests. Where we rely on your consent, you may withdraw it at any time; this does not affect processing that took place before you withdrew it.
6. Who we share it with
We share personal information only where needed for the purposes above:
- Domains.co.za, which hosts this website and our email.
- Crew, camera operators, editors and production partners working on your project, to the extent they need it.
- Aviation authorities, landowners, venue operators or site managers, where a flight, approval or site access requires it.
- Our accountant, auditors, insurers and professional advisers.
- Anyone we are required to share it with by law, regulation or court order, or where needed to protect people’s rights, property or safety.
We expect service providers who process personal information on our behalf to keep it confidential and secure.
7. Third-party services you choose to use
If you contact us on WhatsApp, follow a link to Instagram, Facebook or LinkedIn, share a file through a service such as Google Drive, Dropbox or WeTransfer, or play a YouTube video on this site, that service handles your information under its own privacy policy.
8. Information outside South Africa
Our website and email are hosted by Domains.co.za, a South African provider. Some of the third-party services in section 7 may process information outside South Africa. If we transfer personal information outside South Africa ourselves, we will do so only as permitted by section 72 of POPIA.
9. Cookies, analytics and video
This website does not intentionally use analytics, the Meta Pixel or advertising cookies, and it does not set cookies for ordinary visitors. Fonts are served from our own website. WordPress sets the cookies it needs only when an administrator logs in.
Videos are embedded using YouTube’s privacy-enhanced mode and load only when you click play. Once you play a video, YouTube (Google) may set cookies and collect information under Google’s privacy policy.
If we add analytics or similar tools in future, we will update this policy first.
10. How long we keep it
We keep personal information only as long as needed for the purpose it was collected, unless the law requires or allows us to keep it longer:
- Enquiries that do not become work: up to 24 months after the last meaningful contact.
- Client and project correspondence and records: up to 5 years after the project is completed.
- Accounting, tax and invoice records: at least 5 years, or longer where the law or an audit requires it.
- Briefs uploaded through the quote form: only as long as reasonably necessary for the quotation or project. The form emails the file to us and deletes the temporary copy from the web server straight away; it is not stored on this website.
- Aviation and operational records: for the period required by applicable aviation law, operational requirements, contracts or legitimate business needs.
After that, we delete or destroy the information, or de-identify it.
11. How we protect it
We take reasonable technical and organisational measures to protect personal information against loss, misuse and unauthorised access. These include encrypted connections (HTTPS) to this website, access-controlled email and website accounts, and keeping uploaded files off the web server. No system is completely secure. If a security compromise affects your personal information, we will notify you and the Information Regulator as POPIA requires.
12. Your rights
Under POPIA you may, subject to the conditions in the Act:
- ask whether we hold personal information about you, and request access to it (see our PAIA Manual);
- ask us to correct or delete information that is inaccurate, out of date, incomplete, excessive or unlawfully obtained, or to destroy or delete a record we are no longer authorised to keep;
- object to our processing of your personal information on reasonable grounds, and to its use for direct marketing;
- withdraw consent you have given;
- lodge a complaint with the Information Regulator.
Send requests to our Information Officer at info@aerialdronesolutions.co.za. You may use the Information Regulator’s POPIA forms (Form 1 for objections, Form 2 for correction or deletion), but a clear written request is enough. We may need to confirm your identity first, and we may keep information where the law requires us to.
